1. Scope and our role
This Privacy Policy applies to the Hulin AI website, account experience, and AI receptionist service operated by Hulin Inc. Hulin generally acts as a service provider to dental practices for information collected through their patient calls. The practice determines why that information is collected and how it is used. Hulin acts on its own behalf for website, account, security, support, and business-contact information.
2. Information we collect
- Business contact details, including name, clinic, work email, phone number, and demo-request information.
- Account and workspace information, including authentication, roles, clinic settings, and support requests.
- Service data submitted during calls, such as caller contact details, reason for calling, availability, transcripts, recordings, and follow-up notes when enabled by the clinic.
- Technical and security data, including device, browser, IP address, timestamps, request logs, and usage events.
- Billing and subscription records. Payment card details are handled by the applicable payment processor rather than stored directly by Hulin.
3. How we use information
We use information to:
- Provide missed-call and after-hours receptionist services and prepare clinic follow-up.
- Authenticate users, administer clinic workspaces, and provide customer support.
- Protect the service, prevent abuse, enforce usage limits, and investigate reliability or security issues.
- Improve service quality, measure performance, and develop features using appropriately controlled data.
- Process subscriptions, maintain business records, and comply with legal obligations.
4. How information is shared
We do not sell personal information or use patient call information for targeted advertising. We disclose information to the dental practice responsible for the call and to vetted service providers that support cloud hosting, telecommunications, speech and AI processing, authentication, security, support, and billing. We may also disclose information when required by law, to protect rights or safety, or as part of a merger, financing, acquisition, or sale of assets subject to appropriate safeguards.
5. Dental and health information
Hulin provides administrative software and does not provide dental diagnosis, treatment, or emergency care. Dental practices are responsible for their patient notices, call-recording disclosures, permissions, and use of service data. A practice should not use Hulin to transmit protected health information until any legally required contractual and security safeguards, including a business associate agreement where applicable, are in place.
6. Retention and security
We retain information for the period needed to provide the service, follow clinic instructions and contractual commitments, maintain security and business records, and meet legal requirements. Retention may vary by data type and account settings. We use administrative, technical, and organizational safeguards designed to protect information, but no online service can guarantee absolute security.
7. Choices and requests
Business users may update many clinic and account details in the service. A patient seeking access, correction, or deletion of call information should normally contact the dental practice that received the call. We will assist the practice with verified requests as required. Website visitors and account holders may contact us directly about their privacy rights; rights vary by location.
8. Changes and contact
We may update this policy as the service or legal requirements change. The effective date above identifies the latest revision. Questions or privacy requests may be sent to voicilereceptionist@gmail.com.
